Still chasing expense receipts? Capture Expense and Pliant say there’s a better way

Cloud-based expense management platform Capture Expense has brought business spend and expense management into one place through its partnership with European payments provider Pliant, giving customers real-time control over company spend at the point it happens, not weeks later.

With around one in five UK SMEs now using credit cards to manage day‑to‑day spending, it’s becoming clear that expense management works far better when it starts at the point of spend, not weeks later with a receipt and an educated guess at what it was for.

Less chasing, more control

For most employees, the expense process tends to follow a familiar pattern. Pay first, claim later, then wait. With business expense cards built into the Capture Expense platform, that process looks very different.

Cards can be issued instantly, with limits and controls already in place. Transactions are tracked in real time, and much of the manual work like receipts, write-ups and chasing approvals become a thing of the past.

It’s a small shift in process, but it’s a noticeable one in day-to-day working life. Employees aren’t left out of pocket, and finance teams don’t have to piece the story together afterwards.

Built around how people actually spend

The partnership is shining a light on what’s already happening across most organisations. Spending is happening everywhere, whether that be on the road, online or across teams, but the tools haven’t always kept up with the pace.

With Pliant’s card infrastructure embedded into Capture Expense, customers can:

They can be used for everything from travel and accommodation to software subscriptions and everyday business purchases, keeping spend and reporting closely aligned.

A natural next step for growing teams

Speaking about the partnership, James Rowell, Founder and Managing Director of Capture Expense, said: “For a lot of people, expenses still mean paying out of pocket, saving receipts, and trying to remember what something was weeks after they’ve paid for it. It’s never been a great experience.”

He adds: “Our partnership with Pliant allows us to change that by bringing cards directly into the platform. The spend is already captured, the context is there from the start, and the whole process becomes far more straightforward, for employees and for finance teams.”
